We at the German-Syrian Research Foundation (DSFG) are preparing to take our work to the next
level—and we’re looking for a dedicated Board Administrative Assistant to join us on this journey:

Board Administrative Assistant,
Volunteering (non-paid), 4-6 Hours weekly

Our Foundation is 100% volunteers, we believe in volunteering next to our regular jobs. Research is our

  • Core Requirements:
    An Administrative Assistant at the German-Syrian Research Foundation is expected to have the following
    Capabilities:
    ● Minute-Taking: Active listening, concise and clear writing, and strong organization to accurately
    capture and document meeting outcomes.
    ● Appointment Coordination: Proficiency in scheduling and managing meetings using Google
    Calendar or similar tools, with a keen eye for detail and time management.
    ● Digital Organization: Maintaining and structuring digital records and archives efficiently using
    platforms like Google Drive.
    ● Communication Support: Handling board correspondence and following up on relevant
    administrative matters.
    ● Archiving: Creating and managing the Foundation’s digital archive.
    ● Experience: Former administrative experience is an asset, though not mandatory.
    Skills Requirements:
    ● Strong time management and organizational skills
    ● Excellent written and verbal communication
    ● Active listening and concise summarization
    ● Attention to detail in note-taking and scheduling
    ● Proficiency with digital tools (especially Google Calendar, Google Drive, etc.)
    ● Comfortable working independently and remotely
    ● Good command of English

 

  • Responsibilities:
    As an Administrative Assistant at the German-Syrian Research Foundation, you will be in charge of the
    following:
    ● Take and distribute accurate meeting minutes in a timely manner
    ● Schedule and coordinate meetings, ensuring availability and clear communication
    ● Send detailed meeting invitations and follow up as needed
    ● Organize and maintain digital and physical files
    ● Respond to emails and internal communication professionally and promptly
    ● Support the preparation of reports, presentations, and other administrative materials
    ● Monitor deadlines and follow up on tasks to ensure completion
    ● Provide general administrative support to the board and team members
